How to write sales emails with ChatGPT

How to write sales emails with ChatGPT or Claude that sound like you and remember every prospect. Prompts, common mistakes, and a free memory setup.

To write good sales emails with ChatGPT, give it three things every time: who you are and what you sell, who the prospect is with one real fact about them, and the one thing you want them to do. The weak point is memory. A normal chat forgets your offer, your voice and what you already sent each prospect, so you paste the same context again and again. Connecting a sales memory over MCP fixes that, and Outbind's Free plan does it at no cost.

Can ChatGPT write good sales emails?

Yes, if you give it good context. ChatGPT and Claude write clear, well-structured emails fast. They write weak emails when the prompt is vague, because they fill the gaps with safe, generic lines that every buyer has seen before.

The fix is not a cleverer prompt. It is better input: what you sell in one sentence, who the person is, one specific fact about them, and one small ask.

What prompt should you use for a sales email?

Use a prompt that gives the AI your offer, the prospect, a reason to write and clear rules. Here is one you can copy:

Message

You are writing a first sales email from me to one person.

About me: I sell {{what you sell, one sentence}} to {{who buys it}}. The main result customers get is {{result}}.

About them: {{name}}, {{job title}} at {{company}}. Real fact: {{a recent hire, raise, launch or post, with the link}}.

Rules: under 90 words. Plain text. Open with the real fact, not with "I hope you are well". Name one problem they likely have because of that fact. End with one easy question. No buzzwords, no exclamation marks, no claims I did not give you.

Then ask it for two follow-ups that each add something new, a few days apart. For finished examples, see our cold email templates.

What mistakes make AI sales emails fail?

AI sales emails fail for five common reasons:

  1. Made-up facts. The AI guesses a detail about the company that is not true. One wrong fact ends the conversation.
  2. Too long. Three paragraphs about your product. Busy buyers read two lines.
  3. Generic openers. "I came across your profile and was impressed." Everyone uses it.
  4. No reason now. Nothing ties the email to something that just happened for them.
  5. Repeating yourself. The follow-up says the same thing as the first email, because the chat forgot what you sent.

The first four are prompt problems. The fifth is a memory problem.

Why does ChatGPT forget your prospects?

ChatGPT forgets your prospects because each chat is separate and general memory is not built to track dozens of people, what you sent each one and how they replied. You end up pasting your offer and the history into every new chat.

A sales memory keeps that for you. It stores your company, your offer, your voice and every prospect, and the AI reads it before it writes.

How do you give ChatGPT a sales memory?

You give ChatGPT or Claude a sales memory by connecting Outbind's MCP server. MCP is the standard way AI assistants connect to outside tools. Once connected, the assistant can read what Outbind remembers and ask Obi to write.

In ChatGPT:

  1. Open Settings, then Apps & Connectors, then Advanced settings, and turn on Developer mode.
  2. In Apps & Connectors, press Create. Name it Outbind, paste https://app.outbind.ai/api/mcp and pick OAuth.
  3. Sign in to Outbind, pick Can draft and edit and press Allow.
  4. In a chat, add Outbind from the + menu.

Steps for Claude and other apps are in the connect guide.

What does Outbind add on top of ChatGPT?

Outbind adds memory and a sales playbook on its own side. When you ask for an email, Obi writes it with Outbind's playbook, examples and pre-send checks, then hands back finished text.

  • Remembers your company: offer, ideal customer, voice and your team's lessons.
  • Remembers each prospect: notes, research, fit score and every email sent, so follow-ups never repeat.
  • Writes and checks: sales emails, LinkedIn messages, reply answers and call scripts.
  • Sorts replies: paste a reply and Obi says what it means and drafts the answer.

It never sends anything. You copy the text and send it from your own email or LinkedIn.

Is it free?

Yes. Outbind's Free plan is free forever with no card: it remembers up to 100 prospects, writes 500 drafts and 100 hard replies a month, learns from 10 knowledge sources and checks 100 email addresses a day. If you later want Outbind to find people and send for you, Autopilot is on paid plans from $49 a month with a 7-day free trial. See is there a free AI SDR? and pricing.

FAQ

Is ChatGPT good for cold emails?

ChatGPT is good at writing cold emails when you give it your offer, a real fact about the prospect and strict rules. Without that context, it writes generic emails that get ignored.

What is the best AI for writing sales emails?

The best AI for sales emails is one that knows your offer and remembers each prospect. ChatGPT and Claude both write well; adding a sales memory such as Outbind over MCP stops repeated context and repeated follow-ups.

Can ChatGPT send sales emails for me?

Not on its own. With Outbind's Free plan connected, it still only writes; you send. Outbind's paid Autopilot finds people, sends from your own inbox and follows up for you.

Does Outbind work with Claude?

Yes. Outbind's MCP server works with Claude, ChatGPT, Cursor, VS Code and other apps that support MCP. See the connect guide.

Will the AI make up facts about my prospect?

It should not, and you should check. Give it real facts with links, or let Obi research with sources. Never send a detail you cannot verify.
