Apollo vs Outbind: database tool or done-for-you engine? (2026)

Apollo vs Outbind compared on pricing, data accuracy, LinkedIn and replies. Apollo gives you a database to run; Outbind does the work with verified data.

Apollo vs Outbind is a choice between a toolkit and a done-for-you engine. Pick Apollo if you want a large contact database, a free plan and a dialler for reps who run their own sequences. Pick Outbind if you are a founder, agency or small team that wants verified data, writing, sending, LinkedIn and replies handled for you.

Key points

  • Apollo is a B2B database with sequences, a dialler and AI features. Your team searches, builds lists and works the tasks.
  • Outbind is an autonomous client engine. It maps your market from your website, then finds, researches, writes, sends and answers interested replies.
  • As of October 2026, Apollo lists Free, Basic ($49 a month) and Professional ($99 a month) per seat. Outbind starts at $49 a month, and team plans share credits instead of charging per seat.
  • Apollo's LinkedIn steps are manual tasks. Outbind automates LinkedIn in the cloud.
  • Apollo is the better fit for large teams of manual SDRs, calling and free use. Outbind is the better fit when you want the work done.

What is Apollo?

Apollo.io is a sales platform built around a large B2B contact database, with email sequences, a dialler and an AI assistant on top. A sequence is a planned series of touches (emails, calls, tasks) sent to a contact over time.

You search Apollo's database, spend credits to reveal verified emails and phone numbers, add people to sequences, and work the tasks it creates. Apollo's pricing page says credits cover "emails, phone numbers, email warmup, domains and mailboxes, and AI-researched data."

What is Outbind?

Outbind is an autonomous client engine for founders, agencies and sales teams. It maps your market from your website, finds and scores people who fit (on fit, persona and intent, with the reasons shown), researches them, writes and sends from your own Gmail or Outlook, automates LinkedIn in the cloud, sorts every reply in one Unibox, answers people who want to talk with your booking link, and moves your pipeline.

Its AI is called Obi, and you run it from the web dashboard or WhatsApp. Autopilot sends on its own once you OK the first leads, or you can choose to review every lead. Pricing questions, objections and anything unclear come to you.

How does Apollo.io pricing compare with Outbind?

Apollo charges per seat and Outbind charges per plan, with team credits shared. As of October 2026, the plan data on Apollo's pricing page lists Free at $0, Basic at $49 a month and Professional at $99 a month, with Custom pricing "negotiated with sales". Its plan comparison shows prices per seat, and "All seats on an Apollo account are on the same plan."

Apollo's credits are "pooled across the team", granted at the start of each billing cycle, and do not roll over. They pay for contact data, but also for warmup, domains and mailboxes you buy through Apollo, and dialler minutes. Outbind credits pay for leads and research. Sending never uses credits.

Plan (as of October 2026)Price a monthWhat it includes
Apollo Free$0Limited database access, email campaigns from Gmail only
Apollo Basic$49 per seatEmail sequencing and core integrations
Apollo Professional$99 per seatHigher credit limits, AI features, call recording, advanced CRM integrations
Outbind Pro$495,000 credits (up to about 400 leads), 1 LinkedIn account, sending included
Outbind Pro Plus$9912,000 credits (up to about 1,000 leads), 2 LinkedIn accounts, more signals
Outbind Team$19925,000 shared credits, 3 seats, 4 LinkedIn accounts

Apollo's page does not show how many credits each plan includes, so check your account's plan overview before you compare volumes.

A worked example for a team of three. Say a founder and two sellers want about 1,000 new prospects a month, with email and LinkedIn.

  1. Apollo Professional for three seats is 3 x $99 = $297 a month (Basic would be $147). That buys the database, sequences and AI features. The team still builds lists, writes or edits copy, works LinkedIn tasks by hand and answers replies.
  2. Outbind Team is $199 a month for three seats, 25,000 shared credits and four LinkedIn accounts. Obi finds the people, writes, sends, runs LinkedIn and answers interested replies.
  3. For a solo founder, Apollo Basic and Outbind Pro both cost $49. The difference is who does the work.

How accurate is Apollo's data?

Apollo publishes its own figures, and they are vendor claims rather than independent tests. As of October 2026, Apollo's Email Status Overview says "verified emails maintain an email match rate of 84% and an accuracy rate of more than 90%." Its verification guide describes "a 7-step email verification process" backed by its contributor network.

Apollo is open that not every email is verified. Its "Unverified" status includes "emails where Apollo has low confidence in their validity", and it advises: "Only use unverified emails as an infrequent last resort." There is also a "Catch-all" status. A catch-all domain is one that accepts every email sent to it, even to addresses that do not exist. Apollo refunds the credit if a verified email it supplied bounces within 30 days, when sent from Apollo.

With Apollo, data quality is partly your job: filter by status, decide on catch-alls and keep bounces low. Outbind takes that job on. Enrichment uses a verified pool first and other sources only for gaps, every field records its source, date and confidence, and emails are never guessed from name patterns.

Does Apollo automate LinkedIn?

No. Apollo adds LinkedIn steps to a sequence as tasks for a person to do. Its help article on LinkedIn tasks says "LinkedIn tasks need to be manually completed" and "Apollo doesn't automatically complete LinkedIn tasks for you." You copy the message, open the profile, send it and mark the task done.

Outbind runs LinkedIn in the cloud. Invites carry a short personal note, messages follow human pacing, and you get 1 LinkedIn account on Pro, 2 on Pro Plus, 4 on Team and 8 on Team Scale (extra accounts are $10 a month). Replies from LinkedIn and email land in the same Unibox. For pacing and limits, see our LinkedIn automation safety guide.

Who does the work in Apollo vs Outbind?

In Apollo, your team does the work and Apollo gives you the tools. You choose filters, build lists, write or approve sequences, make calls, complete tasks and reply from the emails hub, which can filter replies by sentiment such as "willing to meet".

In Outbind, Obi does the work and you handle the parts that need a human:

  1. Obi reads your website and maps your market and personas.
  2. It finds and scores people, showing why each one fits.
  3. It researches each person and writes messages that cite real sources.
  4. Every draft passes 35+ pre-send checks, then goes out from your own mailboxes.
  5. Interested replies get your booking link; pricing questions and objections come to you.
  6. A Flow stops the moment someone replies or books, and deals move in your pipeline and sync to HubSpot, Pipedrive or Salesforce.

When is Apollo the better choice?

Apollo is the better choice when you want a database and tools for people who will use them every day. Choose it if:

  • You need a genuinely free plan. Apollo's "stays free with no time limit."
  • Calling matters. Apollo has a dialler, and Professional adds call recording.
  • You have a large team of SDRs who prospect by hand and want low per-seat prices.
  • You want to browse and export contacts yourself, not just receive leads.

When is Outbind the better choice?

Outbind is the better choice when you want meetings, not another tool to run. Choose it if:

  • You are a founder, agency or small team without time to build lists and work tasks.
  • You want verified data with source, date and confidence on every field, and no guessed emails.
  • You want LinkedIn automated in the cloud, not left as manual tasks.
  • You want interested replies answered for you with your booking link.
  • You want team credits shared across seats, not priced per seat.
  • You want buying signals like hiring and funding on every plan.

If that sounds like you, start a free trial. Every plan has seven days to try it. You can also compare more options in our guide to AI SDR tools.

FAQ

Is Apollo worth it?

Apollo is worth it if your team will search the database, run sequences and make calls every day, and its free plan is a low-risk start. If you want the prospecting, writing, sending and replies done for you, a done-for-you tool like Outbind fits better.

What is the best Apollo alternative for small teams?

For founders and small teams who do not want to run a database by hand, Outbind is a strong Apollo alternative. It finds verified leads, writes, sends, runs LinkedIn and answers interested replies from $49 a month.

How much does Apollo.io cost?

As of October 2026, Apollo's pricing page lists Free at $0, Basic at $49 a month and Professional at $99 a month per seat, with Custom plans priced by sales. Check Apollo's pricing page for current figures.

Does Apollo send emails?

Yes. Apollo includes email campaigns on every account. On the free plan you can connect Gmail only, while paid plans can connect Microsoft and other providers.

Is Apollo data accurate?

Apollo says its verified emails have a match rate of 84% and an accuracy rate of more than 90%, but these are its own figures. It also labels some emails unverified or catch-all and advises using unverified emails only as a last resort.

Does Outbind use its own database like Apollo?

Outbind uses a verified pool first and other sources only to fill gaps, and records the source, date and confidence on every field. You do not browse it like a database; Obi finds the people who fit your market.
